Configuration and Board Event logs

The Admin Log provides board admins and facilitators with a comprehensive audit trail of changes made to boards and administrative settings. It is designed to ensure transparency, accountability, and traceability across board configuration, user management, integrations, and system-level events.

The log captures a wide range of administrative actions, from configuration changes and visual updates to idea and user exports, imports, and deletions. In addition, it tracks interactions with the log itself for internal analytics purposes.

In order to access the Admin Log, you need to be an board admin or organization admin.

How to get there

Open the Admin Portal and navigate to Settings and then to Logs.

Log Overview

The Admin Log consists of two main sections:

  • Configuration Log – Tracks changes to board and organization settings.

  • Event Log – Tracks system-level actions such as deletions, exports, imports, and updates.

The number shown in brackets next to each section title reflects the number of log entries returned for the currently active filters, using the same logic as the idea and user counts in their respective sections.

Filters and controls

You can filter, sort, expand, or collapse log entries using the controls in the log’s navigation bar.

Filters

To open the filters, click the filter icon in the navigation bar:

Filters allow you to:

  • Define a time range

  • Enable or disable event groups

Default filters

By default, the time range is set to a year of data and the event groups General, Process, Communication, Access Rights, Users and Integrations are active. Once a user resets their preferences, this information will be saved in their browser and the preferences will be applied to any idea on any board until the preferences are changed.

Time range

To reset the time range, click the calendar icon on either the from date or To date controls.

Choose and click on the date you want to set for the start and end dates. You can use the Today button to quickly selected today's date. Today is a dynamic field which will update the date when visiting the log after the date it is set to. E.g. If I set the date to 19.12.2025 on that day and revisit the log on 20.12.2025, the date for the end or start date will be 20.12.2025, not fixed to 19.12.2025.

Once you have set the time range, click filter to reset the log.

Event groups

To filter by event groups, simply click on the relevant groups to filter them in or out. When hovering an option, the events under that group will be highlighted.

Sorting, collapsing and expanding

Sorting

The sort function allows you to reorder events chronologically. Click the Sort button to toggle the order.

Note that the timestamp label's format under the event description is defined by the settings for the board. You can change a board's date format here.

Expand/Collapse

You can expand or collapse the details of individual events using the arrow icon on the right-hand side of the event.

To expand or collapse all visible events, use the expand/collapse control in the navigation bar.

Configuration Log - Event groups

The Configuration Log tracks all changes made to board and organization settings. When multiple changes are saved in a single action, they are grouped into one event with detailed change information.

All event groups listed below are enabled by default and follow the order described in this article. Filter preferences are stored in the user’s browser and applied consistently until changed. To filter by event groups, simply click on the relevant groups to filter them in or out. When hovering an option, the events under that group will be highlighted.

General

Includes:

  • Basic settings changed

    • Logs who made the change and when

    • Details all modified settings within a single save action

  • Categories enabled / disabled

  • Category created / changed / deleted

    • Details the specific changes

  • Tag creation rights changed

  • Custom fields enabled / disabled

  • Custom field title changed

  • Custom field created / changed / deleted

    • Details the specific changes

  • User activity points enabled / disabled

    • Details the specific changes

Process

Includes:

  • Statuses enabled / disabled

  • Statuses created / changed / deleted

    • Details the specific changes

  • Evaluation enabled / disabled

  • Evaluation created / changed / deleted

    • Details the specific changes

  • Idea responsibility enabled / disabled

    • Details the specific changes

  • Pre-moderation enabled / disabled

  • Impact assessment enabled / disabled

    • Details the specific changes

Communication

Includes:

  • Welcome message enabled / disabled

Event Log - Event groups

The Event Log captures system-level actions related to ideas, users, exports, imports, and analytics.

Deleted ideas

Includes:

  • Idea deleted

    • Logs idea title, deletion timestamp, and user

    • Includes as much available information as possible, such as creator, creation date, description, category, status, and custom fields

Idea exports/imports and updates

Includes:

  • Ideas data exported

    • Details the number of ideas

    • Further development required for idea-level details

  • Scheduled report sent

  • Ideas imported

    • Details the number of ideas

    • Further development required for detailed data

  • Ideas updated

    • Further development required

User exports/imports and updates

Includes:

  • Users list exported

Evaluation exports

Includes:

  • Evaluation data exported
