Idea activity log

Our idea activity log is an audit trail for board admins and facilitators to easily follow the progress and changes made to an idea throughout its lifetime.

The log details a wide range of events we will cover in this article, from important process related changes down to small changes to the idea's comment and user engagement.

In order to access the activity log, you need to be a board facilitator, board admin or organization admin

How to get there

Step 1

Open the idea for which you want to see the activity log. Click the More info tab

Step 2

Click the Activity log sub-tab

Step 3

You can now see all events for the idea with the applied filters we will describe below

Filters and controls

You can easily filter and expand or collapse events using the controls in the activity log's nav bar.

Filters

To open the filters, click the filter icon in the nav bar

The filters include a time range and event groups

Default filters

By default, the time range is set to a year of data and the event groups Process, People fields and Evaluations and Impact assessments are active. Once a user resets their preferences, this information will be saved in their browser and the preferences will be applied to any idea on any board until the preferences are changed.

Time range

To reset the time range, click the calendar icon on either the from date or To date controls.

Choose and click on the date you want to set for the start and end dates. You can use the Today button to quickly selected today's date. Today is a dynamic field which will update the date when visiting the log after the date it is set to. E.g. If I set the date to 19.12.2025 on that day and revisit the log on 20.12.2025, the date for the end or start date will be 20.12.2025, not fixed to 19.12.2025.

Once you have set the time range, click filter to reset the log.

Event groups

To filter by event groups, simply click on the relevant groups to filter them in or out. When hovering an option, the events under that group will be highlighted.

Sorting, collapsing and expanding

Sorting

The sort function allows you to reorder events chronologically. Click the sort button to reorder the events.

Note that the timestamp label's format under the event description is defined by the settings for the board. You can change a board's date format here

Expand/Collapse

You can expand or collapse the details for any individual event, where applicable, by clicking the arrow button to the right of the event

To expand or collapse all the listed events, click the expand/collapse button on the righthand side of the nav bar.

Event Groups

As the activity log details a lot of different data related to ideas, its is broken down into event groups to ensure granularity and a better user experience.

Process

The Process event group includes:

  • Status updates - When and idea is moved from a status to another

    • Details old and new status - From and To

  • Copied Ideas

    • Details movement From and To other boards

  • Moderation

    • Details the date of acceptance and who processed the idea

  • Merge

    • Details idea merges

People fields

The People fields detail changes - additions and removals - to idea creators and responsibles as well as idea responsibility applications and their processing.

Evaluations and Impact assessments

This group details evaluations provided by different users:

  • An event is created for each numerical evaluation rating with the evaluator's name and the rating provided

  • An event is created with the text provided by an evaluator for a text evaluation field

Impact assessment events include the description for the assessment and the assessor's name

Idea content

Idea content is the most comprehensive of the event groups and includes any edits or changes to an idea's fields, such as descriptions, titles, custom fields, tags and featured images. Whenever multiple changes are made to an idea's fields (e.g. category and status), these will be listed under a single event in this group.

User engagement

This group includes favorites, likes, additions/edits and deletions of comments as well as attachments from users.

Automation worflows

This group includes any workflows triggered by actions in the idea in question.
