Integrating Viima with Viva Engage

Viima can be easily integrated with Microsoft Viva Engage, previously known as Yammer.

Viva Engage (previously Yammer) is a popular enterprise tool for internal communication by Microsoft.

Viima offers a built-in integration with Viva Engage. This currently consists of two main features: automated notifications, and the sharing of ideas.

The prior can be used to let people in the service know about all kinds of different activities that are happening in Viima, the latter to enable users to easily share ideas of their choosing to Viva Engage.

This guide shows you how these features work, as well as how to enable and configure them.

Please note that you will need board admin permissions to your Viima board to enable these settings, as well a user with admin permissions in Viva Engage for the notification integration to work.

Setting up automated notifications to Viva Engage

Automated notifications are a great way to keep Viva Engage users always up-to-date on what's happening in Viima. Once configured, you can configure the details to meet your preferences.

Step 1:

Go to the integrations tab in the admin portal of the Viima board you wish to integrate with Vima Engage, and then click on Microsoft Viva Engage.

Step 2:

Then,

  1. Click on the "Add new" button

  2. Follow the instructions shown on screen and in the image below to make sure you have a Viva Engage user with admin permissions. You might need to contact your internal IT to achieve this. Admin permissions are required by Viva Engage to post announcements.

  3. Click "Create Viva Engage integration" and log in with the Viva Engage admin user of your choosing.

    Please note that this user is used for all posts in Viva Engage, so naming this user "Viima" or similar is typically recommended.

Step 3:

With your Viima board successfully connected to Viva Engage, you might want to adjust the notification settings.

Click on the "Edit notification settings" text next to the newly created integration and you'll be taken to the notification settings section of the admin portal. This section now has a new section for Viva Engage notifications.

Then, you can choose which actions that happen on the Viima board should be posted to Viva Engage, and to which groups these notifications should be sent to. Remember to save yours settings once you're done.

Step 4:

You'll start getting notifications to Viva Engage to the groups you chose, and about the actions you selected. You can always go back to step 3 and adjust the settings later if you change your mind.

Sharing of ideas to Viva Engage

Once enabled, sharing of ideas makes it effortless for users to post about them to Viva Engage, which in turn helps increase engagement across both platforms.

Step 1: Enable the feature

Navigate to the sharing settings section of the admin portal for the board you'd like to enable this on. Once there, make sure the Viva Engage option is checked, and click save. The feature is now available for all users on the board.

Step 2: Using the feature

Once a user opens on the board, they can hover over the share icon to show the options you've configured in step 1. Once the user clicks on the Viva Engage logo, they'll be taken to a window where they can choose the specific community they'd like to share this to.
