Deactivating users

In Viima, you don't “delete” users from a board. You instead deactivate the user from the list of users. This both prevents the user from accessing the board and frees up their user license.

P.S. To be able to complete the following steps, you’ll need to have an admin account for the desired Viima board. Please contact your Viima super user for access if you don’t already have an account.

How to get there

If you already know your board name, the easiest way to deactivate users is through the following URL:

https://app.viima.com/admin/organization-name/board-name/#users

If you do this, proceed directly to Step 2. Otherwise, start from Step 1.

Step 1

On your Viima Admin account, go to "Settings" in the admin portal of your board and then to "Users" from the left side menu.

From here, you can manage your user activity statuses

Changing activity status

Now you should have the view from Step 2 open.

A person’s activity status can either be “Yes” or “No.” This status can be changed per person from the dropdown menus under “Active.” Only an admin can change the activity status of another person.

P.S. As a failsafe, a person cannot make changes to their own status.

When a person is no longer a part of your board, you can change their activity status to “No”. This immediately revokes their right to access your board and also works as a sign to other admins about the person’s current status.

P.S. No changes are permanent. The changes you make can be reversed at any time.

If you have a person on your board whom you wish to deny access to due to E.g. spamming or inappropriate behavior, you can also effectively block their entry by changing the activity status of such individuals to “No”.

Filtering the list of users

If you wish to hide inactive users from the list, you can do so by filtering the list.

There are 3 different ways to filter your list of users from the dropdown menu next to the search bar:

  • All users: Shows both active and inactive users on your list

  • Active users: Shows only active users on your list

  • Inactive users: Shows only inactive users on your list


Don't forget to save your changes!

Green "Save" buttons can be found on all pages where changes can be made. Clicking this activates those changes.
