Inviting users to join your board

Your list of users shows all the people who've either logged in to your board or have been imported to your list of users. This guide shows you how to invite new users to join your board.

All you need to know is their name and email address. Please note that the email needs to be available via one of the permitted login options. This means that if you've only enabled Google login, the person's Google email address (either business or Gmail) needs to match the email you input here.

P.S. To be able to complete the following steps, you’ll need to have an admin account for the desired Viima board. Please contact your Viima super user for access if you don’t already have an account.

How to get there

If you already know your board name, the easiest way to manually add users is through the following URL:

https://app.viima.com/admin/organization-name/board-name/#users

If you do this, proceed directly to Step 2. Otherwise, start from Step 1.

Step 1

On your Viima Admin account, go to "Settings" and select "Users" from the left side menu .

From here, you can manage the list of users.

Click “Add users

Step 2

Type the email addresses of the people you wish to add, each separated by a comma.

Then click the green "Add" button under the text field

Step 3

Make sure all the user information is correct. If the person will work as an admin, remember to change their "Role" appropriately.

When you're done, click the green "Save and continue" button.

P.S. You can always go back and alter the role of a person on your board, so whatever you choose here is not finite.

Step 4

Now the person(s) will be added to your list of users. You can choose to send them a participation invite right away by clicking "Invite user now" or postpone this by clicking "...or invite later" below. The invitation will send out an introductory email that will inform the receiver of:

  1. The admin that sent the invite

  2. The board name

  3. The different login options available on the board

P.S. As a security measure, if you activate Viima login from the login options, the invite receiver has 7 days to create a Viima account from the link provided in the email.

After this, you can send another invite to renew this grace period.

Step 5

All the people you add will be shown here. If you decide to postpone sending invitations, you can do so later from the blue "Invite users" button.

It will send invitations to everyone who hasn't yet logged in to your board, even if they've received an invite before.


Don't forget to save your changes!

Green "Save" buttons can be found on all pages where changes can be made. Clicking this activates those changes.
